- Collecting each lead that came through the website form.
- Contacting one or more suitable providers for that move and requesting their rates.
- Waiting for the providers' responses.
- Calculating the final quote for the client, considering the type of move (national, intra-EU, or international) and extra services contracted (insurance, etc.).
- Assembling the quote document and sending it to the client via email.
The average time per quote was about 2 hours. At this pace, they frequently lost opportunities because it took several days to respond to a client who was also requesting quotes from other companies at that moment.How it was solved.I designed and implemented an end-to-end system that automates the complete lead journey, from web entry to sending the final PDF to the client, leaving only decision points in the team's hands. The core stack is n8n for automations and Airtable as the process database.The average time per quote dropped from 2 hours to a maximum of 20 minutes. The system handles 80% of the work; the team only dedicates time to the 20% that requires judgment: review, adjust as needed, and approve. All leads are centralized in Airtable, providing visibility into the funnel and facilitating follow-up. Every time a booking came in, a team member had to open the email, read key details (dates, names, language, number of people, etc.), and manually copy them into an Excel spreadsheet to work with them. During high season, the volume could exceed 500 bookings per day, making the manual process unfeasible and opening the door to errors, omissions, and delays in subsequent operations.How it was solved.I designed and implemented an automatic capture system in 6 weeks that connects the client's email to Airtable, completely eliminating manual transcription work. The core stack was Make for automations and Airtable as the process database. The workflow operates as follows:Before touching technology, a joint definition phase with the client to map their actual operations and design the Airtable structure with the essential fields for the team to work with the data frictionlessly.Make monitors the booking account's inbox and detects each new email in real-time.When a booking arrives by email, Make automatically extracts key data (dates, names, language, number of people, etc.) and normalizes it.The data is immediately sent to Airtable, which acts as a centralized booking database accessible to the entire team.Subsequent situation.The agency went from a 100% manual process of copying data from email to Excel to an automatic systemthat captures bookings in real-time and keeps them centralized and organized in Airtable.
