This event featured an ambitious scenography (main stage with proscenium, satellite stages, 22-meter curved screen...), and high-quality content to support the General Management's objectives.What I ensured:
- Overall event management, in close collaboration with internal teams, General Management, and technical/audiovisual service providers.
- Complete project management for a large-scale event: scoping, timeline, cross-functional coordination, budget monitoring, and securing key milestones.
- Coordination and supervision of technical and scenographic setups: recording, production, interventions on satellite stages and the proscenium, and content delivery.
- Centralization, harmonization, and integration of all presentation materials and audiovisual content, in line with technical and scenographic constraints.
- Support for speakers and internal teams: upstream preparation, rehearsals, content adjustments, and securing presentations.
- Organization and management of dress rehearsals, as well as presence in the production room to ensure the smooth running of the event and the fluidity of sequences on the day.
- Deployment of an AI-powered co-hosting system, building on a successful first experience: coordination with the data team, technical testing, preparation of related sequences and audiovisual materials, and integration into the overall event plan.
- Groupe CovéaEvent Management - "Data & AI Day"BANKING AND INSURANCEDecember 2024 - June 2025 (6 months)Design and coordination of a high-stakes hybrid event focused on data and artificial intelligence, bringing together 250 people in person and over 300 participants online, with nearly 40 speakers.What I ensured:
- Overall event management, in collaboration with internal teams, speakers, and technical/audiovisual service providers.
- Logistics and technical management of a complex hybrid event: sequence scripting, streaming coordination, remote connection management, live link with San Francisco (taking time differences into account).
- Collection, harmonization, and integration of all media materials (PowerPoint, videos, jingles) provided by the 40 speakers, in compliance with the event's graphic charter.
- Personalized support for speakers, especially those unaccustomed to public speaking: upstream coaching, individual rehearsals, stress management on the day.
- Coordination of dress rehearsals and live production management throughout the day.
- Co-management of an innovative AI co-hosting project: needs centralization, brief taking from decision-makers, transmission to internal development teams, technical testing, human and material logistics, coordination of specific rehearsals.
- Writing of the event plan, roadbook, and upstream communication materials, in collaboration with internal stakeholders.
- Presence in the production room on the day to ensure the smooth running of sequences and the fluidity of transitions (including technical ones).
- Groupe CovéaEvent Management - "PI Planning SMART AI R4"BANKING AND INSURANCEFebruary 2025 - May 2025 (3 months)Organization of a 2-day event bringing together IT teams (SMART AI Department) and business ambassadors to align ongoing projects and launch the next agile cycles in a collaborative and immersive setting.What I ensured:
- Overall coordination of the event.
- Scripting of plenary sessions, alternating strategic messages, live duets, and participatory sequences around a theme inspired by the 24 Hours of Le Mans.
- Creation and harmonization of materials (slides, visuals, videos), respecting a dedicated graphic charter for the event.
- Fostering collective energy through the integration of energizers and dynamic content throughout the two days.
- Organization of the festive evening: cocktail reception, musical entertainment (DJ).
- Creation of jingles, videos, and immersive content to reinforce the consistency and rhythm of the sequences.
