    I audited the work system of a business consultant and executive coach to identify opportunities for automation, AI, and knowledge management improvement.

    The main problem was the dispersion of information across emails, meetings, documents, notes, and tasks. This required reconstructing the context for each client, searching for information from various sources, and preparing recurring documents from scratch.

    After analyzing the processes and comparing several alternatives, I designed a private application that centralizes work by client and project.

    The solution allows organizing clients, projects, and statuses; incorporating documents, emails, and transcripts from authorized sources; linking meetings, tasks, decisions, and next steps; querying information through semantic search with sources; and generating draft minutes, emails, reports, and action plans, always with human review.

    The system **incorporates operational memory**: it retains validated decisions, criteria, and results, and reuses them as context in future queries, meetings, and documents. Thus, it not only stores information but also maintains continuity and improves efficiency with each use.

    My work included process auditing, client liaison, needs capture, use case prioritization, functional design, technical architecture, prototyping, and implementation roadmap.

    The architecture was planned withNext.js, Microsoft 365andMicrosoft Graph, PostgreSQLwith vector search, and **OpenAI API**, including permissions, traceability, and data minimization.

    The goal is to reduce the time spent searching for information, better prepare meetings, and convert dispersed knowledge into useful, traceable, and reusable information.

    I analyzed and developed an internal solution to automate part of the commercial and operational process of an industrial company, from receiving requests by email to preparing and reviewing quotes and orders in the ERP.

    The project began with an analysis of the existing workflow, identifying manual tasks, exceptions, and points of traceability loss. From there, I structured the functional requirements and designed a solution adapted to the team's way of working.

    The application:
    • Detects emails sent by authorized sales representatives.
    • Extracts and structures relevant information using AI.
    • Consults and connects data with the ERP.
    • Prepares commercial proposals and order lines for human review.
    • Centralizes incidents, statuses, and activity in an internal dashboard.
    • Records processed emails, generated proposals, errors, and pending tasks.
    • Monitors the status of processes, integrations, and AI services.
    I participated from start to finish: process analysis, functional definition, technical design, development, integration, testing, and implementation.

    I designed and developed PortalLex, my own project aimed at helping law firms professionalize new client intake and maintain initial continuity for each case within a single system.

    The project stems from a common operational problem: incomplete or scattered information across forms, emails, calls, WhatsApp, documents, and internal notes. Based on this diagnosis, I defined the functional requirements and built a platform that centralizes the intake, review, communication, and initial tracking of cases.

    The solution includes:
    • Configurable intake forms under the firm's domain and brand.
    • A central inbox to review, prioritize, and manage new inquiries.
    • Clients, cases, messages, and documents linked from the first contact.
    • Statuses, tasks, and activity traceability.
    • Assisted AI to summarize information, draft responses, and accelerate repetitive tasks.
    • Human review before making decisions or sending communications.
    • Architecture prepared to incorporate documented phone and WhatsApp interactions.
    • User management, support, billing, and firm configuration.
    I was responsible for the entire product cycle: problem analysis, functional definition, experience design, architecture, full-stack development, database, integrations, deployment, and system evolution.

    I also incorporated privacy and security criteria such as controlled access, encrypted communication, configurable retention, data export, and responsible data handling.

    The goal is to reduce scattered information, avoid repetitive administrative work, and allow the firm to evaluate and manage each new inquiry with more context, control, and traceability.
