The question rarely comes from an authority. It comes from the client: a supplier self-disclosure with a new section on AI use. Who uses which systems at your company, who is trained, where is it documented? At this moment, an abstract law becomes a revenue issue.

Since February 2025, Article 4 of the EU AI Act obliges all organizations using AI to demonstrably enable their employees. The AI Act will largely apply from August 2, 2026. In many organizations, neither has yet arrived. Work is still being done with AI, often without rules and without an overview.

I am Alexander Thein, TÜV-certified external AI Officer. The start of collaboration is usually an in-house training: AI competence according to Article 4, with proof of documentation that can withstand a customer inquiry or an audit. Those who want to go further afterwards engage me as an external AI Officer, just as many engage an external data protection officer: AI inventory, risk classification, ongoing documentation, reporting processes. The ultimate legal responsibility remains with you as the operator. My job is to create the conditions that enable you to fulfill it.

Before AI compliance, there are over 40 years in product development, quality management, data protection, and IT. Those who know ISO 9001 from the inside will navigate the operator's obligations without translation loss. An example from practice: For a district, I inventoried and evaluated 23 uncontrolled AI tools. 16 were approved, 7 replaced, and there were no data protection incidents in the subsequent period.

In between, a station that sounds unusual: I am an IHK-certified coffee sommelier and owned a coffee house. In the daily business of a café, it becomes clear within minutes whether a process works or is just on paper. I bring this perspective with me.
